Administrative Professional

Ocean Yacht Sales is an established yacht and pleasure boat brokerage located in Dartmouth, Nova Scotia and a division of the TriNav Group of Companies headquartered in St John’s, Newfoundland and Labrador.

We have an immediate opening for a full time permanent highly organized and detail-oriented Administrative Professional to join our team, with a particular focus on accounting. Key Responsibilities:

Bookkeeping Support:

• Assist with day-to-day bookkeeping tasks, including accounts payable/receivable, invoice processing, and bank reconciliations.
• Manage financial records, ensure timely payments, and track expenses.
• Assist with financial reporting

Administrative Duties:
• Provide general administrative support such as filing, scheduling, and handling correspondence.
• Maintain accurate and up-to-date records and databases.
• Coordinate meetings, appointments, and travel arrangements.
• Serve as a point of contact for internal and external stakeholders.

Documentation & Data Entry:
• Prepare and review financial documents such as statements, reports, and spreadsheets.
• Ensure accurate data entry into accounting and administrative software.
• Organize and maintain documentation for compliance and auditing purposes.

Office Management:
• Oversee office supplies, inventory, and ensure smooth day-to-day operations.
• Assist in the preparation of presentations, reports, and correspondence for management.

Qualifications:
• Education: Post secondary education in Accounting, Finance, Business Administration, or related field preferred.
• Experience: Minimum of 5 years of experience in an administrative role, with book-keeping duties.

Skills:
• Proficiency in accounting software
• Strong computer skills, including MS Office (Excel, Word, PowerPoint).
• Excellent organizational and multitasking abilities.
• Strong attention to detail and accuracy.
• Effective communication and interpersonal skills.
